Setting Up a Villa Guide
- Navigate to Properties and open the property.
- Go to the Villa Guide tab.
- Fill in each section:
House Rules
Write clear, friendly rules. Example:
- Quiet hours: 10 PM to 7 AM
- No smoking indoors (outdoor designated area available)
- Maximum occupancy: 8 guests
- No parties or events without prior approval
- Please treat the property with careWiFi and Access Codes
Enter the WiFi SSID, password, and any door/gate codes. These are stored securely and only displayed to confirmed guests through the portal.
Multiple WiFi networks
A property can have more than one network -- a main villa router and a guest-house router, a 2.4 GHz and a 5 GHz network, an apartment Wi-Fi separate from a pool-house mesh, and so on. Click Add network to add another row, and give each one a clear label (e.g. "Main House", "Pool House") in addition to its SSID and password. The networks appear in the same order in the guest portal, so put the most relevant one first.
If a property only has one network, leave the label blank and just fill in SSID and password as before.
Check-In / Check-Out Instructions
Provide step-by-step arrival and departure details:
- Check-in time and any flexibility.
- How to access the property (lockbox code, key handoff, reception desk).
- Check-out time and procedures (where to leave keys, which lights to turn off).
Emergency Contacts
Add contacts as a structured list:
| Name | Role | Phone |
|---|---|---|
| David | Property Manager | +506 8888-1234 |
| Emergency Services | Police/Fire/Ambulance | 911 |
| Nearest Hospital | Hospital San Rafael | +506 2666-0000 |
Multilingual Support
Villa guides support multiple languages through the multilingual field system:
- Write the guide content in your primary language.
- Click the language selector to add translations.
- Supported languages: English, Spanish, French, Portuguese.
- The guest portal displays the guide in the guest's preferred language.
How Guests Access the Guide
Guests view the villa guide through the guest portal:
- Guest opens their booking link (from confirmation email).
- Navigates to the Villa Guide section.
- Content is displayed in their preferred language.
The guide is available from the moment the booking is confirmed through checkout.
Sensitive Information
WiFi passwords, door codes, and emergency contacts are considered sensitive:
- They are only visible to confirmed guests (not pending or cancelled bookings).
- Access requires a valid booking token.
- Data is encrypted in the database.
Best Practices
- Keep it concise. Guests scan, they don't read novels.
- Include photos where helpful (e.g., which button turns on the pool heater).
- Update before each season. WiFi passwords and access codes may change.
- Test the guest view. Open the guest portal link to see what the guest sees.
- Translate key sections. At minimum, translate house rules and emergency contacts.
Common Questions
Can I copy a villa guide from one property to another? Currently, guides are created per property. For similar properties, write the first guide and use it as a template for others.
Who can edit the villa guide? Admins and property managers assigned to the property.
Is the villa guide visible on OTA channels? No. The villa guide is exclusively accessed through the Argonautas guest portal.
