Owner Management
Property owners are the investors or landlords who own the villas and rentals in your portfolio. Argonautas tracks owner relationships, manages revenue sharing, and provides a dedicated portal for owner visibility.
Adding an Owner
- Navigate to Owners.
- Click Add Owner.
- Enter the owner details:
| Field | Description |
|---|---|
| Name | Full name or entity name |
| Primary email for communications and portal access | |
| Phone | Contact number |
| Tax ID | Tax identifier for invoicing and statements (optional) |
| Payment preferences | Bank account or payment method for disbursements |
- Save.
Searching and Filtering
The Owners list supports search across the entity name, members' names and emails, and linked user accounts -- so a search for "García" finds entities whose owner is named García even if the entity itself is named "Casa Pacifica LLC". Combine search with the type and status filters at the top of the list to narrow further.
Linking Owners to Properties
- Open a property in Properties.
- Go to the Ownership tab.
- Select the Owner from the dropdown.
- Configure the revenue split (percentage or fixed management fee).
- Save.
A property can have one owner. If ownership is shared, use the primary contact as the owner and note the arrangement.
The owner entity detail page lists every property linked to that entity in the Properties card, with a quick link from each row to the property detail. Use this to see at a glance which villas an owner is responsible for.
Revenue Sharing
Configuration
Revenue sharing is set per property:
| Model | Description | Example |
|---|---|---|
| Percentage split | Owner receives a percentage of net revenue | 80% to owner, 20% management fee |
| Fixed management fee | Owner receives revenue minus a fixed fee | Revenue minus $200/month |
Calculation
The system calculates owner revenue automatically:
- Gross revenue from accommodation charges.
- Deductions for management fees, cleaning costs, and other agreed expenses.
- Net to owner = Gross - Deductions.
Owner Statements
Monthly or per-booking statements are generated automatically. They include:
- Booking details (guest name, dates, amount).
- Fee and deduction breakdowns.
- Net disbursement amount.
- Running balance.
Statements can be downloaded as PDF or viewed in the owner portal.
Owner Communication
- Send messages to owners from the Inbox.
- Use lifecycle templates for automated owner notifications (e.g., booking confirmed, payment received).
- Owners can reply via the owner portal messaging feature.
Exporting Owner Data
To pull a snapshot of owners for accounting, an external CRM, or a data audit:
- Open the Owners list view.
- Apply any search or filter you want the export to respect (the export uses the same filters that are visible on screen).
- Click Export.
- In the modal, choose:
- Format -- CSV or XLSX.
- Entity fields -- name, type, tax ID, payment method, status, and more.
- Member fields -- include each member's name, email, role, and permission flags.
- Click Download.
Member fields produce one row per member, with the entity columns repeated. Without member fields you get one row per entity. Your last selections are remembered for next time.
For bulk communications, use the Inbox to message owners directly (filter recipients by entity).
Common Questions
Can an owner own multiple properties? Yes. Link the same owner to multiple properties. Each property can have its own revenue split configuration.
What happens when I change an owner? The new owner relationship applies to future bookings. Historical statements remain associated with the previous owner.
Can owners edit their properties? No. Owners have view-only access through the owner portal. Property edits are managed by the admin or property manager.
