Dashboard Overview

The dashboard is the first screen you see after signing in as an admin or property manager. It provides a real-time snapshot of your operation: who is arriving today, what needs your attention, and how your portfolio is performing.

Overview

The dashboard is designed to answer the question "What do I need to know right now?" at a glance. It pulls live data from across the system -- bookings, payments, messages, tasks -- and presents it in a single, scannable view. The current date is displayed in the top-right corner of the header.

How It Works

The dashboard is organized into four distinct areas, read from top to bottom.

1. Circular Gauges

Four circular gauges sit at the top of the dashboard. They give you a quick read on the state of the operation the moment you log in. Each gauge is clickable and takes you straight to the screen where you act on it:

2. Secondary Stats

Below the gauges, three rectangular stat cards show portfolio-level numbers:

  • Properties -- Total number of properties in your portfolio.
  • Active Reservations -- Current count of confirmed, in-progress reservations.
  • 7-Day Occupancy -- Occupancy rate as a percentage over the past 7 days.

3. Alerts and Quick Actions (Left Column)

The left column contains two sections:

Needs Attention lists actionable items that require your response. Each alert is clickable and navigates directly to the relevant section:

  • Unread Messages -- Links to the Inbox. Shows a count of messages from guests and owners.
  • Pending Maintenance -- Links to the staff tasks view. Shows maintenance items awaiting assignment.
  • Booking Requests -- Links to Bookings. Shows reservations awaiting confirmation.
  • Overdue Tasks -- Links to the staff tasks view. Shows tasks past their due date.

When there are no alerts, the section shows a green checkmark with an "All caught up" message.

Quick Actions provides four shortcut buttons arranged in a 2x2 grid:

  • Add Property -- Opens the new property form.
  • New Booking -- Opens the bookings section.
  • Send Message -- Opens the Inbox.
  • Create Task -- Opens the new task form.

4. Today's Activity (Right Column)

The right column shows three sections of time-sensitive information:

Today's Arrivals lists each guest checking in today, including:

  • Guest name
  • Property name
  • Check-in time
  • Length of stay (shown as a badge, e.g., "5 nights")

Click View All to go to the bookings list filtered by today's arrivals.

Today's Departures lists each guest checking out today, with:

  • Guest name
  • Property name
  • Check-out time

Click View All to go to the bookings list filtered by today's departures.

Recent Activity shows a chronological feed of recent events across the system. Each activity entry includes a colored dot indicating the type (booking, message, or maintenance), a description of what happened, and a relative timestamp (e.g., "2 hours ago").

Key Concepts

Personalized greeting. The dashboard greets you by your first name. If no first name is set, it falls back to the local part of your email address.

Live data. Dashboard data is fetched from a single API endpoint when the page loads. To refresh the numbers, reload the page.

Responsive layout. On mobile devices, the circular gauges rearrange into a 2x2 grid, the two-column layout stacks vertically, and quick actions switch to a single column.

Common Questions

How often does the dashboard update? Data is loaded when you open or refresh the page. There is no automatic polling, so refresh the page to see the latest numbers.

Can I customize which metrics appear? The dashboard layout is fixed in the current version. All admins and property managers see the same set of gauges, stats, and alerts.

Why are there two occupancy figures? They cover different windows. The 30-Day Occupancy gauge looks forward -- the percentage of property-nights booked across the next 30 days -- so you can spot a soft month ahead. The 7-Day Occupancy stat card is a near-term, today-centred read. Both are the percentage of available property-nights that are booked over their window.

The New Reviews gauge shows a count I can't fully act on. Why? The gauge mirrors the Reviews Action Needed tab exactly, so the two never disagree. That set includes Airbnb reviews still inside the 14-day double-blind window, which you can't reply to until it closes -- they remain counted so the gauge matches what you see when you click through.

Can owners or staff see this dashboard? No. Owners, staff, and guests each have their own dedicated portal with a different dashboard tailored to their role.
