Your Tasks
Tasks are the core of your daily work in the staff portal. Every cleaning, maintenance job, inspection, or pre-arrival prep is tracked as a task -- assigned to you, tied to a specific property, and scheduled for a particular date and time.
Overview
When your manager creates a task, it appears in your task list with all the details you need: which property, what type of work, when it is due, and how urgent it is. You work through the task checklist, add notes or photos as you go, and mark it complete when you are done.
Viewing Your Tasks
Open My Tasks from the dashboard or the bottom navigation bar. You will see a list of every task assigned to you, with the most urgent and upcoming tasks first.
Each task card shows at a glance:
- Task type -- turnover clean, deep clean, inspection, maintenance, pool service, or pre-arrival prep
- Priority badge -- color-coded to help you plan your day
- Property name -- the villa where the work needs to happen
- Scheduled date and time -- when the task is due
- Status -- where the task stands in the workflow

Understanding Task Priorities
Every task has a priority level that tells you how time-sensitive it is.
| Priority | Color | What It Means |
|---|---|---|
| Urgent | Red | Needs immediate attention -- a guest is arriving soon or something is broken |
| High | Orange | Important and time-sensitive -- should be done today |
| Medium | Yellow | Standard task -- complete by the scheduled date |
| Low | Gray | Can be done when you have availability |
When you have multiple tasks on the same day, start with urgent and high-priority items first. If you are unsure which task to tackle next, check the due times -- a turnover clean due at 2:00 PM takes priority over a pool service due at 5:00 PM.
Task Details
Tap any task card to open its detail page. Here you will find everything you need to do the job:
- Property and address -- the villa name and location so you can navigate there
- Booking context -- if the task is tied to a guest checkout or check-in, you will see the guest name and relevant dates
- Due date and time -- the deadline for completing the task
- Manager notes -- any special instructions from your manager (e.g., "Guest requested extra towels in the master bedroom")
- Checklist -- the step-by-step items you need to complete

Working Through Checklists
Most tasks include a checklist -- a list of specific items that need to be done. For example, a turnover clean might include:
- Strip and remake all beds with fresh linens
- Clean all bathrooms -- toilets, showers, sinks, mirrors
- Vacuum and mop all floors
- Wipe down kitchen surfaces and appliances
- Restock toiletries and paper goods
- Take out all trash and recycling
- Lock all doors and windows
Checking Off Items
As you complete each step, tap the checkbox next to it. The progress bar at the top updates to show how far along you are -- for example, "4 of 7 items complete."
You can check items off in any order. If you need to skip an item temporarily and come back to it, that is fine -- just make sure everything is checked before marking the task complete.
Item-Level Notes
Some checklist items allow you to add a note. If you notice something unusual -- a stain that would not come out, a broken fixture, a missing item -- tap the note icon next to that checklist item and describe what you found. Your manager will see these notes during review.
Adding Completion Notes and Photos
When you finish working on a task (or while you are working), you can add notes and photos to document your work.
Notes
Tap Add Note at the bottom of the task detail page. Use notes to:
- Report issues you discovered (e.g., "Hot water heater making a clicking noise")
- Explain anything unusual (e.g., "Pool chemical levels were off -- added extra chlorine")
- Flag items that need follow-up (e.g., "Screen door needs replacement -- hinge is bent")
Photos
Tap the camera icon to attach a photo. Photos are especially useful for:
- Before/after documentation -- showing the condition of a room or area
- Maintenance issues -- capturing a leak, crack, or broken item so your manager can see it
- Completed work -- proving the job is done to standard
Photos are uploaded directly from your phone's camera or gallery. Each task can have multiple photos attached.

Marking Tasks Complete
Once every checklist item is checked and you are satisfied with the work:
- Tap the Mark Complete button at the bottom of the task detail page
- Add any final notes if needed
- Confirm the completion
The task status changes to Completed and moves to your completed tasks list. Your manager receives a notification and will review your work. After review, they may mark the task as Verified.
Status Flow
Tasks move through these statuses:

| Pending | Created but not yet assigned a specific time |
| Assigned | Assigned to you with a scheduled date |
| In Progress | You have started working on it |
| Completed | You have marked it done |
| Verified | Your manager has reviewed and approved it |
You control the transition from Assigned to In Progress to Completed. Your manager handles the rest.
Filtering Your Tasks
When you have many tasks, use the filter options at the top of the task list to find what you need.
- Status filter -- show only pending, in progress, or completed tasks
- Property filter -- narrow down to tasks at a specific villa
- Date range -- view tasks for today, this week, or a custom date range
- Search bar -- type a task title, property name, or task number to find it quickly
To reset all filters, tap Clear Filters.
Status Tabs
Quick-access tabs at the top of the task list let you jump between:
- All Tasks -- everything assigned to you
- Pending / Assigned -- work that has not started yet
- In Progress -- tasks you are currently working on
- Completed -- finished tasks
Each tab shows a count so you can see at a glance how much is on your plate.
Common Questions
What happens if I cannot finish a task on time? Add a note to the task explaining the situation and let your manager know. They can extend the deadline or reassign the task if needed.
Can I add photos after marking a task complete? Yes. You can open a completed task and add additional notes or photos until your manager marks it as verified.
Do I need to check every item on the checklist? Yes. All checklist items should be checked before marking the task complete. If an item does not apply, add a note explaining why and check it off.
Can I see tasks assigned to other staff members? No. You only see tasks assigned to you.
What does "Verified" mean? It means your manager has reviewed your completed task and confirmed that the work meets the expected standard.
