Booking Statuses Explained

Every booking in Argonautas carries a status that tells you exactly where it is in its lifecycle. Statuses are color-coded throughout the application so you can assess your pipeline at a glance.

Status Reference

ConfirmedTealThe reservation is locked in. The property is blocked and the guest has been notified.
PendingYellowThe booking exists but is not yet confirmed -- typically waiting for payment or manual review.
On HoldYellowDates are temporarily reserved while a quote or payment is in progress.
Checked InTealThe guest has arrived and is currently at the property.
Checked OutGrayThe guest has departed. The booking is now part of historical records.
CancelledRedThe reservation was cancelled before the guest arrived. Dates are released.

Status Transitions

Bookings follow a defined set of transitions. The system enforces logical paths to prevent mistakes.

What Triggers Each Transition

  • Pending → Confirmed: You confirm manually after verifying payment, or an OTA sends a confirmed reservation via channel sync.
  • Pending → On Hold: You place a temporary hold while waiting for the guest to finalize.
  • On Hold → Confirmed: The guest confirms and you move the booking forward.
  • Confirmed → Checked In: You mark the guest as arrived on or after the check-in date.
  • Checked In → Checked Out: You mark the guest as departed on or after the check-out date.
  • Any active status → Cancelled: You cancel from the detail view. A confirmation modal prevents accidental cancellations.

Once a booking is Checked Out or Cancelled, dates and pricing are locked.

Filtering by Status

The Bookings list view uses tabs to organize bookings:

  • Active Bookings -- Pending, Confirmed, On Hold, and Checked In. This is the default view.
  • Confirmed -- Only confirmed bookings. Useful for reviewing upcoming arrivals.
  • Pending -- Bookings waiting for action. Check this daily.
  • Cancelled -- Cancelled bookings for tracking cancellation rates.
  • Completed -- Checked-out bookings. Your historical archive.

Each tab displays a count badge. Combine status tabs with property, date range, source, and text search filters to answer questions like "Show me all pending Airbnb bookings for March."

Color Coding

Status colors appear consistently throughout the application:

  • Teal (Confirmed, Checked In) -- Active and on track.
  • Yellow (Pending, On Hold) -- Needs attention.
  • Gray (Checked Out) -- Complete.
  • Red (Cancelled) -- Did not happen.

You will see these colors on booking cards, detail headers, the availability calendar, and dashboard widgets.

Daily Workflow Tips

  • Start your day on the Pending tab. Review any bookings that need confirmation.
  • Check Active Bookings for today's arrivals and departures. Mark guests as Checked In or Checked Out promptly.
  • Use On Hold sparingly. Holds block availability -- release dates if the guest has not responded within your hold window.
  • Review Cancelled bookings weekly to track patterns that may signal pricing or listing issues.

Common Questions

Can I revert a Checked Out booking? No. Checked Out is a final status. If a guest extends their stay, create a new booking for the additional nights.

Do status changes sync to OTA channels? Cancellations sync automatically. Check-in and check-out statuses are internal and do not affect OTA records.

What happens to calendar availability when I cancel? Dates are immediately freed for other bookings.
