Completing Tasks
Task completion in Argonautas captures not just that work was done, but how it was done. Staff can add notes, photos, and time records, giving managers visibility into quality and efficiency.
Marking a Task Complete
From the Staff Portal
- Open Staff Portal > Tasks.
- Find the task in your list.
- If the task has a checklist, work through each item and check it off.
- Add any completion notes (e.g., "Replaced pool pump filter -- old one was cracked").
- Optionally upload completion photos.
- Click Mark Complete.
From the Admin View
Managers can also mark tasks complete from Admin > Staff > Tasks:
- Open the task.
- Change the status to Completed.
- Add notes if applicable.
- Save.
Completion Photos
Photos provide visual verification of completed work. This is especially valuable for:
- Turnover cleaning -- Photos of each room confirm the property is guest-ready.
- Maintenance repairs -- Before and after photos document the fix.
- Inspections -- Visual record of property condition.
To add photos:
- Click the camera icon or Add Photo button.
- Take a photo or select from your gallery (mobile) or upload (desktop).
- Photos are attached to the task and visible to managers.
Notes and Comments
The task detail includes a comment thread:
- Staff can add notes about what was done, issues found, or supplies needed.
- Managers can comment with feedback or follow-up instructions.
- All comments are timestamped and attributed to the author.
Time Tracking
If time tracking is enabled:
- Click Start Timer when you begin working on the task.
- Click Stop Timer when you finish.
- The elapsed time is recorded on the task.
Alternatively, manually enter the time spent if you forgot to use the timer.
Time data feeds into staff performance reports and helps estimate future task durations.
Manager Review
Managers can review completed tasks:
- Navigate to Admin > Staff > Tasks.
- Filter by status: Completed.
- Open a task to review:
- Checklist completion (all items checked?).
- Completion photos (quality acceptable?).
- Notes (any issues reported?).
- Time spent (reasonable for the task?).
If the work is not satisfactory, reopen the task by changing the status back to In Progress and adding a comment explaining what needs to be redone.
Completion Notifications
When a task is marked complete:
- The assigning manager receives a notification.
- The task moves from the active list to the completed section.
- If the task is linked to a booking (e.g., turnover cleaning), the booking record is updated.
Common Questions
Can I undo a task completion? Yes. Managers can change the status back to In Progress from the task detail view.
Are completion photos visible to guests? No. Task photos are internal and only visible to staff and managers.
What happens to completed tasks? They remain in the system as historical records and contribute to performance reports. They can be filtered in the task list using the Completed status tab.
