Setting Up the Owner Portal

The owner portal gives property owners self-service access to their property's calendar, bookings, financials, and communications. This guide walks you through enabling and configuring it.

Enabling the Owner Portal

  1. Navigate to Settings > General.
  2. Find the Owner Portal section.
  3. Toggle Enable Owner Portal to on.
  4. Save.

Once enabled, you can invite individual owners to access the portal.

Inviting Members

Owners are organised into entities -- the legal or business arrangement that owns one or more properties (an individual, an LLC, a couple, etc.). Each entity has one or more members, the people who should have portal access. Invitations are sent per member.

  1. Navigate to Owners and open an owner entity.
  2. Scroll to the Members card.
  3. On the row for the person you want to invite, click Invite to Portal.
  4. Confirm. The member receives an email with a magic-link to set up their portal account.

The status column on each row shows whether the member has been invited, has accepted, or has had access revoked.

Resending invitations

If a member did not receive their invitation, or the link expired:

  1. Open the entity detail page.
  2. Find the member row.
  3. Click Resend Invitation. A fresh magic link is generated and emailed.

Revoking access

To stop a member from logging in to the portal:

  1. Open the entity detail page.
  2. Find the member row.
  3. Click Revoke Access and confirm.

Revoking unlinks the member from their user account but keeps their name and email on the membership row, so the entity record stays intact. To restore access, click Invite to Portal again.

Configuring per-member visibility

Each member row on the entity detail page has individual permission toggles:

  • View financials -- show invoices, statements, reports, and revenue breakdowns. Also gates financial documents in the Documents view.
  • View guest details -- show guest names and contact information on bookings.
  • Create blocks -- allow the member to block dates on the calendar for personal use.

Toggles take effect immediately. View guest details and Create blocks default to off for new members and should be enabled deliberately.

Because permissions are per member and per entity, the same person can have full access on one entity and limited access on another.

Customizing the Portal

Branding

The owner portal inherits your company branding:

  • Company logo in the header.
  • Brand colors for buttons and accents.
  • Company name in communications.

Configure branding in Settings > Branding.

Financial Detail Level

Choose how much financial detail owners can see:

  • Summary only -- Total revenue and net disbursement.
  • Detailed -- Per-booking breakdown with fees and deductions.

Troubleshooting Access Issues

Common Questions

Can owners book their own property? Owners can request an owner stay by blocking dates on the calendar. This creates an owner-stay booking that does not generate revenue charges.

Can I disable portal access for a specific owner? Yes. Open the entity detail page, find the member row, and click Revoke Access. Their login is deactivated immediately. Re-invite them later if needed.

One entity has two members. Can they have different permissions? Yes. Permission toggles are set per member, per entity. One member can have View financials enabled while another does not.

Do owners receive automatic notifications? Yes, if lifecycle templates are configured for owner events (new booking, payment received, etc.).
