Settings Guide
The Settings area is where you configure how your Argonautas workspace looks, communicates, and connects to outside services. Users with the admin role have full access to every section. Property managers can open some sections and save their own company's details, but cannot change platform-wide configuration.
Everything you save here applies to your own company (your tenant) -- not to any other business on the platform. Editing your company name, currency, or timezone changes them for your workspace only.
Overview
Settings are grouped into the following sections, reachable from the sidebar under Settings:

Company Profile
The company profile appears in guest communications, invoices, and the owner portal. These fields are saved to your company's own record, so the name and contact details you enter are the ones your guests and owners see.
- Company name -- Your business name as shown to guests and owners.
- Address -- Physical business address, used on invoices and legal documents.
- Phone number -- Primary contact number in E.164 format (e.g., +506 8888 1234). The phone field includes a country-code selector with flag display.
- Email -- Primary contact email for business correspondence.
- Default Concierge Email -- Fallback concierge email shown to guests when a property has no concierge assigned. It fills the
{{concierge_online_email}}/{{concierge_onsite_email}}message variables whenever the property itself has no concierge, so those variables never render blank. - Default Concierge Phone -- Fallback concierge phone used the same way for the
{{concierge_online_phone}}/{{concierge_onsite_phone}}variables. Per-property concierge contacts are assigned in Staff Management; these company defaults apply only when a property has none. - Country -- Your country of operation, which sets the defaults for phone formatting and currency.
- Website -- The URL of your public website, linked from guest communications. The field is forgiving about format -- you can paste a bare domain and it will be normalized.

Brand Identity
Brand settings control the visual identity of your guest-facing materials and portals.
- Logo -- Upload your company logo. It appears in the guest portal header, email templates, owner portal, and the live-chat widget.
- Primary color -- The main accent color used for buttons, links, and highlights across guest-facing interfaces. Defaults to Argonautas teal (#0E7C86).
- Secondary color -- Used for hover states and supporting UI elements.
- Accent color -- A warm highlight color for badges, alerts, and call-to-action elements.
Brand changes apply immediately to the guest portal and live-chat widget. Email templates pick up the logo and colors on the next send.
Notification Preferences
Control how and when Argonautas notifies your team and your guests.

Each team member can personalize their own notification preferences from their profile. The Settings page controls the global defaults for new users.
Guest Notifications
Guest notification templates are managed under Settings > Messaging > Templates. You can configure which lifecycle messages are sent automatically:
- Booking confirmation
- Pre-arrival instructions (configurable days before check-in)
- Check-in details
- Post-checkout thank-you and review request
Messaging Channel Settings
The Messaging section is where you connect and manage communication channels. Each channel has its own settings panel, and the cards are ordered with your direct channels first (WhatsApp, SMS, email, live chat) and OTA channels (Airbnb, Booking.com) after them. A connected OTA shows a green Connected badge.
WhatsApp
Connect your WhatsApp Business number through Argonautas. Once connected, the number appears in the inbox for sending and receiving messages. You can connect multiple numbers if you operate in different regions.
SMS
Connect SMS senders: either a long-code phone number or an alphanumeric sender ID (e.g., "ARGONAUTAS"). Alphanumeric senders are display-only and cannot receive replies. Long-code numbers support two-way messaging.
Email
Configure the email addresses used for outbound guest communication. Inbound email to these addresses is routed into the inbox as conversations.
Support email lives here, in the Messaging tab, rather than in the general profile -- it is the per-tenant address used as the last-resort "from" and reply-to for support correspondence and guest-portal branding when no more specific channel address applies.
Send Guest Replies as Me (Per-User Mailbox)
Each staff member can connect their own Google (Gmail / Workspace) mailbox so that conversational replies to guests are sent from their real address and threaded into their own inbox. This panel only appears when the server has Google sign-in configured.
- Click Connect and authorize Argonautas against your Google account.
- Once connected, the panel shows Connected as
<your address>, and replies you send from the inbox go out through your mailbox (and land in your Sent folder). - Automated transactional email -- confirmations, receipts, lifecycle messages -- still goes through the company email provider; this setting only affects the replies you type in the inbox.
- Use Disconnect to revoke the connection at any time. If Google access is later revoked externally, the panel prompts you to reconnect.
Live Chat
The live-chat widget settings control the appearance and behavior of the chat bubble embedded on your website. Options include:
- Widget position (bottom-right or bottom-left)
- Welcome message text
- Offline message behavior
- Color theme (inherits from brand identity by default)

Integration Settings
Integrations connect Argonautas to external platforms for distribution, payments, and translation.
Channel Providers
Channel providers sync your properties, rates, and availability with OTA platforms (Airbnb, Booking.com, VRBO, and others).
- Provider selection -- Choose your channel-management provider.
- API credentials -- Enter the API key supplied by your channel manager.
- Property mapping -- After connecting, associate each Argonautas property with its corresponding listing on the channel provider. This is done per-property in the property settings.
Payment Gateways
Configure payment processing to collect guest payments and deposits.
- Gateway selection -- Supported gateways include PowerTranz (for Costa Rica / CRC processing), PayPal, and Stripe.
- Credentials -- Enter your merchant ID, API keys, and processing currency.
- Test mode -- Enable sandbox mode to test payment flows without processing real charges.
Only one primary gateway can be active at a time, although you can configure several and switch between them.
Translation Services
Machine translation helps you communicate with international guests. Supported providers:
- DeepL
- OpenAI
- Google Cloud Translation
- DeepSeek
Enter the API key for your preferred provider. Translation is used for property descriptions, message templates, and guest communications. You can configure a primary and a fallback provider.
Google Calendar
Connect a Google account so each property's bookings and availability blocks are written to a Google Calendar automatically, replacing the old iCal subscription. See Google Calendar Sync for the full setup.
Property Management System Import
Companies migrating from an external property-management system (Beds24) can import their properties and bookings one-way into Argonautas. This is an opt-in integration enabled per account by Argonautas support, so the Property management system card only appears once it has been turned on for your company. If you don't see it and think you should, contact support. An imported Airbnb booking that the OTA has already settled shows as Paid (recorded as an externally-paid amount), so it never appears as an outstanding balance.
System Defaults
System defaults set baseline configuration that applies across your workspace.
- Default currency -- USD or CRC (Costa Rican colón). Individual properties can override this.
- Timezone -- Your operating timezone (e.g., America/Costa_Rica). It affects booking dates, report timestamps, and scheduled tasks.
- Language -- The default interface language. Argonautas supports English, Spanish, French, and Portuguese. Each user can override this in their profile.
- Content languages -- The set of languages your guest-facing content (property descriptions, templates) is maintained in.
- Date format -- Choose between MM/DD/YYYY and DD/MM/YYYY display formats.
- Time format -- Choose between 12-hour (e.g., 3:00 PM) and 24-hour (e.g., 15:00) display. Date and time formats apply wherever Argonautas shows dates and times across your workspace.
- Check-in / check-out hours -- Default hours shown to guests. Individual properties can override these.
Data & Export
The data section provides tools to export your information.
- Bulk export -- Export all bookings, guest records, or financial data as CSV files for migration or backups.
- Data retention -- See how long different data types are stored and request deletion of old records in compliance with data-protection requirements.
Key Concepts
- Per-tenant settings -- Everything in Settings applies to your own company. Other businesses on the platform have their own, independent settings; nothing you change here affects them.
- Global vs. per-user -- Settings here apply as defaults. Individual users can override notification preferences, interface language, and their own mailbox from their own profile.
- Per-property overrides -- Properties can override currency, check-in/out hours, and some notification behaviors. System defaults apply when no override is set.
- E.164 format -- The international phone-number standard used for all phone fields (e.g., +50688881234). The phone field handles formatting automatically.
- Channel provider -- An external platform that distributes your listings to multiple OTAs. Argonautas is provider-agnostic: it connects through a mapping layer rather than directly to each OTA.
Common Questions
Who can access Settings? Users with the admin role can modify all settings. Property managers can open some sections and save their own company's profile and preferences, but cannot change platform-wide configuration.
Will changing the default currency affect existing bookings? No. Existing bookings keep their original currency. The default currency applies only to new bookings and new properties.
Can I connect multiple WhatsApp numbers? Yes. Each number connects independently through the Messaging settings. Conversations route into the inbox regardless of which number receives the message.
Do I have to use my personal Gmail to reply to guests? No. Connecting a personal mailbox is optional and per-user. If you don't connect one, your replies are sent through the company email provider as before.
What happens if my channel-provider API key expires? Property sync stops until you update the key. Existing bookings are unaffected, but new OTA bookings won't sync. The system shows a warning banner when connectivity problems are detected.
