Reporting Guide

Argonautas provides a comprehensive reporting system that turns your booking and financial data into actionable insights. From high-level dashboard summaries to detailed per-property owner statements, reports help you understand revenue trends, optimize pricing, and keep property owners informed.

Overview

Reports are available under Reports in the main navigation. The reporting section is organized into four main areas:

  • Dashboard -- A snapshot of key metrics with visual charts for quick decision-making.
  • Revenue Reports -- Detailed income breakdowns by property, date range, and booking source.
  • Occupancy Analytics -- Occupancy rates, night counts, and availability trends over time.
  • Owner Statements -- Per-property profit-and-loss reports designed for property owners.

All reports support date range filtering, property selection, and CSV or PDF export.

Key Metrics

Before diving into individual reports, it helps to understand the metrics used throughout:

Dashboard vs. Detailed Reports

The main dashboard (your home screen after login) shows real-time summary cards -- upcoming bookings, month-to-date revenue, occupancy rate, and recent activity. These are designed for a quick morning check-in.

Detailed reports under the Reports section allow you to set custom date ranges, compare properties, and drill into specific data. Use the dashboard for a pulse check and detailed reports for analysis, owner meetings, and strategic planning.

Past vs. Future Mode

The Reports page has a Past / Future mode switcher at the top of the period controls.

  • Past mode -- Historical periods: this month, last month, last quarter, year to date, last year, or a custom date range.
  • Future mode -- Forward-looking periods: next 30 days, next 90 days, rest of year, or a custom range.

In future mode the page switches to a forecast view: the KPI gauges and revenue summary reflect upcoming confirmed bookings, and a Payment Timeline section appears showing when booked revenue is expected to be collected based on scheduled payments.

Comparison Overlays

When in past mode, two checkboxes in the filter row let you benchmark current performance:

  • vs. Last Year -- Fetches the same date range shifted back 12 months and overlays delta percentages on the KPI gauges, revenue summary stats, and the by-property table.
  • vs. Previous Period -- Fetches the preceding equal-length period (e.g. if your range is June, it compares against May) and overlays the same deltas.

Deltas appear as green (up) or red (down) percentage badges next to each metric. Both overlays can be active at the same time.

Settlement Review Alerts

Because owner statements and revenue figures depend on accurate OTA payouts, the Reports page surfaces any bookings whose settlement still needs a manual decision. When there are outstanding items, an amber warning chip appears below the KPI gauges reading "N bookings need settlement review." Click it to jump straight to the Bookings list filtered to just those bookings, where you can confirm the correct owner payout.

Resolving these keeps your revenue and owner-statement numbers trustworthy -- an unreviewed cancellation or late OTA fee can otherwise leave a stale payout in the totals. See OTA Booking Modifications for the full workflow.

Revenue Reports

Revenue reports show how much income your properties are generating and where it comes from.

Filters

  • Date range -- Preset options via the Past/Future switcher, or a custom start and end date.
  • Property -- All properties or a specific villa.
  • Booking source -- Filter by direct bookings, Airbnb, Booking.com, VRBO, or other OTA channels.

Revenue Breakdown

The report displays a summary row at the top with total revenue, booking count, ADR, and RevPAR for the selected period. Below that, a table breaks down revenue by property:

A monthly trend chart shows revenue over time so you can spot seasonal patterns and year-over-year growth.

Occupancy Analytics

Occupancy reports help you understand how well your inventory is being utilized.

What You See

  • Occupancy rate by property -- A ranked list showing which villas are booked most frequently.
  • Nightly breakdown -- A calendar heatmap or table showing booked vs. available nights by month.
  • Lead time analysis -- How far in advance guests are booking, helping you adjust minimum-stay rules and last-minute pricing.
  • Average length of stay -- Useful for understanding guest behavior and optimizing turnover schedules.

Using Occupancy Data

If a property shows consistently low occupancy (below 40%), consider reviewing its pricing, minimum-stay requirements, or listing quality on OTA channels. If occupancy is very high (above 85%), there may be room to increase rates.

Booking Source Breakdown

This report shows where your bookings are coming from -- direct vs. OTA channels.

This data is valuable for evaluating channel ROI. Direct bookings avoid OTA commissions (typically 15--20%), so growing the direct booking share directly improves net revenue.

Channel Performance

Channel performance reports go deeper than source counts. They compare key metrics across your distribution channels:

  • ADR by channel -- Are you getting higher rates on one platform vs. another?
  • Cancellation rate by channel -- Which channels produce the most cancellations?
  • Lead time by channel -- Do Airbnb guests book further in advance than Booking.com guests?
  • Average length of stay by channel -- Understanding stay patterns per platform.

These insights help you decide where to invest marketing effort and whether to adjust channel-specific pricing.

Owner Statements

Owner statements are per-property profit-and-loss reports designed to share with property owners. They summarize revenue, deduct expenses and commissions, and show the net payout.

What an Owner Statement Includes

  • Revenue -- Accommodation income, cleaning fees collected, and any additional service revenue.
  • Deductions -- Channel commissions, payment processing fees, property management fees, and cleaning costs.
  • Net owner payout -- The amount due to the property owner after all deductions.
  • Booking detail -- A line-by-line list of each booking with dates, guest name, nights, and revenue.

Generating Statements

  1. Navigate to Reports > Owner Statements.
  2. Select the property and period (monthly or custom date range).
  3. Review the statement on screen.
  4. Click Export PDF to generate a formatted document suitable for emailing to the owner.

Owner statements use the property's configured currency -- USD or CRC (Costa Rican colones) -- with amounts formatted accordingly.

Exporting Reports

All reports support export in two formats:

  • CSV -- Raw data for spreadsheet analysis, accounting software, or custom reporting.
  • PDF -- Formatted documents suitable for sharing with owners, partners, or accountants.

Click the Export button in the top-right corner of any report, then select your preferred format. Exports respect all active filters -- if you have filtered to a specific property and date range, the export includes only that data.

Key Concepts

  • Date range filters -- Every report defaults to the current month. Change the range to analyze specific periods or compare seasons.
  • Property filters -- Admins and property managers see all properties they manage. Owners see only their assigned properties.
  • Owner statement -- A per-property P&L report showing gross revenue, deductions, and net payout. Designed for transparency with property owners.
  • RevPAR -- Revenue per available room-night. Unlike ADR, RevPAR penalizes empty nights, making it a more complete performance measure.

Common Questions

Who can access reports? Admins see all properties. Property managers see properties they manage. Owners see only their own properties via the owner portal's financials section.

How current is the data? Reports are calculated in real time from booking and payment records. There is no delay or batch processing.

Can I schedule automatic report delivery? Not yet. Currently, reports are generated on demand. Automated monthly owner statement emails are on the roadmap.

What currency are reports displayed in? Reports use the property's configured currency (USD or CRC). Multi-currency summaries show totals in your company's default currency.

Can I compare year-over-year performance? Yes. Use the vs. Last Year comparison overlay in the filter row to see delta percentages on every metric for the same period last year.

What is forecast mode? Switch the Past/Future toggle to Future to see upcoming confirmed bookings. The KPI gauges re-label as forward-looking metrics and a Payment Timeline appears showing projected cash collection dates.
