Rental Configurations

Some villas can be rented in more than one way. A 10-bedroom estate might be available as the whole house, as an 8-bedroom main villa, or as a 2-bedroom penthouse suite. A duplex might rent as the full property or as the upstairs unit alone. Rental Configurations let you express each of those layouts as its own bookable listing on the same property, sharing the same physical building but with their own rates, photos, and channel listing.

Rental Configurations are different from Multi-Unit Properties. Multi-unit is for complexes with multiple independent units. Rental Configurations are for a single villa that can be sold in overlapping ways -- where the same bedrooms appear in more than one possible layout.

When to Use Rental Configurations

Use Rental Configurations when:

  • The same physical bedrooms can be sold under different combinations.
  • Each combination should appear on the OTAs as its own listing with its own price.
  • You want availability to block automatically across configurations -- if the full house is booked, the partial-house listings must close, and vice versa.

Do not use Rental Configurations when:

  • The units are independent (no overlapping bedrooms). Use Multi-Unit Properties instead.
  • You only ever rent the property as one whole. Stick with the standard property setup -- adding configurations would only add overhead.

Enabling Configurations on a Property

  1. Open the property and go to the Configurations tab.
  2. Toggle Enable Rental Configurations on.
  3. The system shows an empty list with a button to add the first configuration.

The Configurations tab is only available on properties that are not multi-unit. The two features are mutually exclusive because they solve different problems.

Before configuring, set up the property's bedrooms on the Property tab. Each bedroom you list there becomes a building block that you can include in one or more configurations.

Adding a Configuration

Click Add Configuration and fill in:

A configuration with no bedrooms cannot be saved -- the bedroom selection is what defines the layout.

After saving, the configuration appears in the list with a bedroom-count badge. You can rename it, change its bedroom selection, or remove it from this view.

Per-Configuration Rates

Configurations do not share rates. The Pricing tab gains a sub-section per configuration where you set the nightly rate for each season template the property uses.

The season templates themselves come from the parent property -- you do not re-enter date ranges per configuration. Once the property is on a season template, every configuration shows that template's date ranges in its pricing table, and you fill in the nightly rate for each.

A configuration must have a nightly rate filled in for every applicable season template before it can sync to OTAs. Empty rates are surfaced as warnings on the Pricing tab.

You can also set per-configuration min stay and max stay values. Min stay falls back to the property-level value when blank; max stay defaults to "no limit" when blank.

Channel Sync and Availability Blocking

Each configuration syncs to distribution channels as its own listing with its own property identifier. From the OTA's perspective, a property with three configurations looks like three independent listings.

Cross-configuration availability is the critical piece. Because the configurations share physical bedrooms, a booking on one of them must close the dates on every other configuration that uses any of those bedrooms.

For example, in a property with:

  • "Full House" -- bedrooms 1, 2, 3, 4, 5
  • "Main Villa" -- bedrooms 2, 3, 4, 5
  • "Studio" -- bedroom 1

A booking on Full House for next weekend automatically pushes "blocked" availability to Main Villa and Studio for the same nights. A booking on Studio alone closes Full House (because it shares bedroom 1) but leaves Main Villa open.

This blocking is automatic. The system pushes the right availability updates to every channel listing whenever a booking is created or cancelled.

Booking Flow

When a guest books through any channel, the booking lands on the configuration they chose. The booking record includes which configuration was sold, so the operations team knows which bedrooms to prepare and which not to touch.

Bookings created manually inside the admin can be assigned to any active configuration on the property. The booking form's configuration dropdown shows only the configurations whose bedroom selection is compatible with the requested dates -- conflicting configurations are filtered out so you cannot accidentally double-book bedrooms.

Editing or Deactivating a Configuration

To change a configuration's bedrooms, name, or guest count, open it from the Configurations tab and edit in place. Save updates the OTA listing on the next sync.

To stop selling a configuration without losing its history, untick Active. The listing is unpublished from channels but the configuration record remains on the property -- past bookings still reference it correctly.

To delete a configuration permanently, the property must have no bookings on it. If bookings exist, deactivate instead.

Common Questions

Can I have a configuration with the same bedrooms as another? Yes -- one might be "Full House" with bedrooms 1-5, another "Full House (Pet Friendly)" with bedrooms 1-5 and a different rate. The system accepts overlapping bedroom sets; what matters is that bookings on either close availability on both.

What happens if I rearrange bedrooms on the property? Rental Configurations refer to bedrooms by index, so renaming a bedroom is fine. Removing a bedroom that is still referenced by a configuration is blocked until you update the configuration to drop the missing bedroom.

Do configurations replace amenities or photos? No. Each configuration shares the property's amenities and photos by default. If a layout needs its own photos -- for example, a partial-floor listing should not show the unused bedrooms -- contact your account manager. Per-configuration photo selection is on the roadmap but not yet shipped.

Can a property be both multi-unit and have rental configurations? No. The two features model different setups and cannot coexist on the same property. Choose multi-unit for complexes with multiple distinct units, and rental configurations for a single villa with overlapping layouts.

How do I tell which configuration a booking is on? The booking detail page shows the configuration name in the property summary at the top. The same value appears on the calendar tile and on any OTA-sync logs.
