PMS Integrations (Beds24 & Hostfully)

If your company already runs its villas in another property-management system (PMS), you can connect it to Argonautas instead of re-entering everything by hand. Argonautas supports Beds24 and Hostfully. Once connected, your properties, bookings, rates and availability, and guest messages flow from the PMS into Argonautas and stay up to date automatically.

Your PMS stays in charge of the records it sends. Argonautas reads them, and you can't edit them in Argonautas. Make changes in the PMS and they come through on the next sync.

Who Can See This

The PMS integration is switched on for each company by Argonautas support. The Property management system card only appears under Settings > Integrations once support has turned it on for your company. If you run Beds24 or Hostfully and don't see the card, contact support.

Admins and property managers can connect, review, and import. Each company can connect one PMS.

Connecting Your PMS

Open Settings > Integrations and find the Property management system card. Under Which system?, choose Beds24 or Hostfully.

Beds24

Beds24 connects with a one-time invite code that you generate in Beds24. The card lists the steps under Before you start:

  1. In Beds24, go to Settings → Marketplace → API and generate an invite code.
  2. While generating it, grant every scope listed under Scopes to grant: read:bookings, read:bookings-personal, read:bookings-financial, read:properties, read:inventory, write:inventory, and write:properties.
  3. Paste the code into Invite code and click Connect.

The code expires 24 hours after you generate it and works only once. If the connection fails, generate a new code in Beds24 and paste that. Trying the same code again won't work.

Grant every scope the first time. Beds24 fixes the scopes when you create the code, and they can't be added later. If you leave one out, the only fix is to disconnect and connect again with a new code. Without read:bookings-personal, imported stays show a placeholder guest instead of real names, emails, and phone numbers. Without read:bookings-financial, booking prices and commission can't be read. Without write:inventory, you can't set a Beds24 villa's price from Argonautas (see Setting a Beds24 Price From the Calendar).

Hostfully

Hostfully connects with your account's API credentials:

  1. In Hostfully, open Settings → API and copy your API key and agency UID.
  2. Enter them in API key and Agency UID on the card.
  3. Click Connect.

Argonautas checks the credentials with Hostfully before saving anything. If they're rejected, the card shows the error in place. Check both values in Hostfully and try again.

What Happens Right After Connecting

As soon as you connect, Argonautas looks up the rentable units in your PMS. Nothing is imported yet. It only finds the units and asks you what each one is (see the next section).

Reviewing Discovered Units

Every unit found in your PMS needs a decision before its bookings are imported. When units are waiting, the card shows a yellow banner ({count} unit(s) need a decision) and the status changes to Needs review. Click Review units to open Review discovered units.

For each unit, choose one of the options under What is it? and click Apply:

OptionWhat it does
Create a new propertyArgonautas creates a new property for this unit on the next import.
This is my existing "…"Links the unit to a property you already have in Argonautas. The property keeps its description, photos, and amenities. From then on your PMS controls its availability, dates, and booking status.
Do not import this oneLeaves the unit out. None of its bookings are imported.

Argonautas may suggest a possible match for a unit. That suggestion only compares names, so check it before you choose.

Importing Bookings

When every unit has a decision, click Import bookings. The import runs in the background, and the card's Last import date updates when it finishes. You can't start an import while units are still waiting. The card shows "Finish reviewing the units above before importing."

The row of figures on the card shows how many units are Mapped, Awaiting review, and Ignored, plus the date of the Last import.

Other buttons on the card:

  • Refresh units checks your PMS again for new units. New ones appear in the review list.
  • Test connection confirms Argonautas can still reach your PMS.
  • Disconnect stops all future imports and deletes the stored credential. Your properties and mapping decisions stay. To reconnect a Beds24 account, you'll need a new invite code.

Keeping Bookings in Sync

After the first import, Argonautas keeps up with your PMS in three ways:

  • Booking poll: roughly every 5 minutes, Argonautas asks your PMS for new, changed, or cancelled bookings.
  • Nightly reconciliation: a full pass each night catches anything the poll missed.
  • Instant booking alerts (webhooks): your PMS tells Argonautas the moment a booking is made or cancelled.

Instant alerts matter because imported villas can still be booked directly through Argonautas. The quicker Argonautas hears about a sale in your PMS, the smaller the window in which the same nights could be sold twice. Set them up as soon as you connect.

Instant Booking Alerts for Beds24

Beds24 has no way to set this up remotely, so you add it by hand. The card's Instant booking alerts panel shows a Webhook URL and a second value (a header name and its value), each with a copy button. In Beds24, go to Settings → Properties → Access → Booking Webhook, paste both values, and choose version 2 (with personal data).

Do this once per Beds24 property, meaning the container that groups your room types, not once per villa.

Instant Booking Alerts for Hostfully

Hostfully can be set up from Argonautas. In the card's Instant booking alerts panel, click Register webhooks. When it succeeds, the button changes to Webhooks registered. and you don't need to click it again.

How Bookings Are Labelled

Each imported booking keeps the channel it came from (Airbnb, Booking.com, VRBO, and so on) as its source, so your reports show where your business comes from. Two details:

  • Airbnb bookings that Airbnb has already paid out show as Paid. They're recorded as paid outside Argonautas, so they never show an outstanding balance.
  • VRBO bookings that reach Beds24 through an iCal feed are labelled VRBO, not "Other". An iCal feed carries dates only, so these bookings have no price in Argonautas.

How Imported Properties Behave

Imported properties are ordinary Direct properties. They aren't partner properties:

  • They belong to your company. A new imported property is assigned to an owner record named after your company, and its bookings appear in your financial reports. No owner-portal access is created with it.
  • They are bookable directly. Your direct-booking website reads their rates and availability from Argonautas.
  • No channel manager. Your PMS already distributes these villas to the OTAs, so Argonautas never pushes their rates or availability out. On the property's Channels tab, the channel manager is replaced by a Distribution card that says Channels are managed by Beds24 (or Hostfully). Manage their OTA listings in your PMS.
  • View-only pricing. On the Pricing tab, the seasons list and the rate calendar are view-only. Set rates in your PMS. For a Beds24 villa you can also set its nightly price from the calendar (see Setting a Beds24 Price From the Calendar). Hostfully rates can only be changed in Hostfully.
  • PMS-owned fields are locked. Editing a field the PMS controls, such as the name, bedroom count, or address, is rejected with "These fields are managed by the external PMS import and cannot be edited here". Imported bookings are also read-only. Change them in your PMS.
  • No automated guest messages. Argonautas doesn't send booking confirmations, lifecycle messages, or other automated guest emails for imported bookings. Your PMS already handles that relationship.

Setting a Beds24 Price From the Calendar

If your Beds24 invite code granted write:inventory, a property manager can set a Beds24 villa's nightly price from Argonautas instead of opening Beds24. Hostfully villas don't have this: their rates are view-only in Argonautas.

  1. Open Calendar, switch to Matrix View, and make sure the Rates row is showing (the Rates button next to the legend). See Matrix View.
  2. Click a night's rate on a Beds24 villa. The Set price in Beds24 dialog opens on that night.
  3. Adjust From and To (last night) if you want a range, and enter the New nightly price. Current price shows the price Argonautas last read from Beds24 for those nights.
  4. Click Save.

Beds24 keeps one price per night, so a range sets every night in it to the same price, including weekend or event prices you set in Beds24. When more than one night is affected, the dialog warns you first: "All {count} nights will be set to {price} in Beds24."

You can set up to 62 nights at a time. Past nights can't be changed, and nights more than about a year ahead are refused ("Too far ahead to confirm from Beds24.").

After saving, Argonautas reads the price back from Beds24 and tells you what happened:

MessageWhat it means
Saved in Beds24.Beds24 now has the new price. The dialog closes.
Beds24 accepted the change but reports … for these nights (you asked for …).A Beds24 price rule may be overriding it. Check the price setup in Beds24.
Saved in Beds24. Couldn't re-read it yet; the calendar updates at the next sync. The write went through, but the read-back didn't. Nothing to do.
Beds24 didn't answer in time. It may have saved; check the calendar.Look at the night again before you try once more.

If a calendar sync is already running, you'll see "A calendar sync is running; try again in a minute."

When the connection can't write prices, clicking a Beds24 villa's rate shows it read-only with the reason, such as "Beds24 connection lacks rate access." if the invite code didn't include write:inventory. Scopes can't be added to an existing connection: disconnect and connect again with a new invite code that grants every scope.

Messages From Your PMS

Guest and host messages from your PMS appear in the Inbox as a read-only copy, checked about every 15 minutes. Each thread is attached to its booking and shows the guest's name, with the booking's channel (for example Airbnb) as the channel.

These threads are for context. Reply to the guest from your PMS or the OTA. A reply typed in Argonautas won't reach the guest.

Common Questions

I don't see the Property management system card. Argonautas support turns the integration on for each company. Contact support to have it enabled.

My Beds24 invite code was rejected. Invite codes work once and expire 24 hours after you create them. Generate a new code in Beds24 (Settings → Marketplace → API) and paste that one.

The card says "This connection is missing permissions." The Beds24 invite code was generated without one of the scopes listed on the card. You can't change scopes on an existing connection. Disconnect, generate a new invite code with every scope ticked, and connect again.

Why are some bookings not imported? Bookings are imported only for units that are Mapped. Units that are Awaiting review or Ignored don't import. Open Review units and make a decision for each one.

Can I rename an imported property? The name comes from your PMS and is refreshed on every sync. Rename the unit in your PMS. If you need a different display name in Argonautas than in your PMS, contact support.

Can I connect an imported property to Airbnb or Booking.com from Argonautas? No. Your PMS already lists it on the OTAs, and connecting it twice would risk double bookings. The Channels tab tells you which PMS manages it.

Where do Airbnb reviews for imported properties come from? See Guest Reviews.
