Task Checklists

Checklists ensure consistent quality by breaking complex tasks into step-by-step items that staff follow and verify. Attach them to tasks for turnovers, deep cleans, maintenance rounds, and inspections.

How Checklists Work

A checklist is a list of items attached to a task. Each item has a description and a completion checkbox. Staff work through the checklist and mark items as done. Managers can review completion progress from the task detail view.

Creating a Checklist Template

  1. Navigate to Admin > Staff > Task Templates.
  2. Click Add Template.
  3. Enter a template name (e.g., "Turnover Checklist").
  4. Add checklist items in order:
    • Each item has a description (e.g., "Strip and remake all beds with fresh linens").
    • Drag items to reorder.
  5. Save the template.

Common Checklist Templates

Turnover / Guest Changeover

  1. Strip all beds and start laundry.
  2. Clean all bathrooms (toilets, showers, sinks, mirrors).
  3. Clean kitchen (counters, appliances, dishes, refrigerator).
  4. Vacuum and mop all floors.
  5. Wipe down all surfaces and furniture.
  6. Restock toiletries and supplies.
  7. Make all beds with fresh linens.
  8. Set out welcome amenities.
  9. Check all lights, fans, and AC units.
  10. Lock all doors and set alarm code.
  11. Take completion photos.

Deep Clean (Monthly)

  1. Clean behind and under all appliances.
  2. Wash windows inside and out.
  3. Clean ceiling fans and light fixtures.
  4. Pressure wash outdoor areas.
  5. Clean pool furniture and cushions.
  6. Check and clean HVAC filters.
  7. Inspect and clean grout and tile.
  8. Organize storage areas.

Pre-Arrival Inspection

  1. Verify WiFi is working (connect and test speed).
  2. Test all door locks and access codes.
  3. Check hot water in all bathrooms.
  4. Verify pool is clean and equipment running.
  5. Confirm all lights work.
  6. Check for pest issues.
  7. Verify welcome supplies are stocked.
  8. Test TV and entertainment systems.

Attaching Checklists to Tasks

When creating a task:

  1. Select a task template that includes a checklist.
  2. The checklist items are copied to the new task.
  3. Staff see the checklist when they open the task.

You can also add checklist items to a task manually without using a template.

Tracking Completion

  • Each checklist item shows a checkbox and completion timestamp.
  • The task detail view shows a progress bar (e.g., "7 of 11 items complete").
  • Managers can filter tasks by checklist completion status.

Customizing Per Property

Some properties require additional checklist items. You can:

  • Create property-specific templates with extra items.
  • Add one-off items to individual tasks when needed.
  • Clone a general template and customize it for a specific property.

Common Questions

Can staff add items to a checklist? Staff can complete existing items but cannot add new ones. Only managers can modify checklist templates and task items.

Are checklist completions logged? Yes. Each item records who completed it and when, providing an audit trail.
