Your Schedule
The schedule page shows when and where you are expected to work. You can see your shifts in a daily or weekly calendar, check which property each shift is for, request time off, and sync everything to your personal calendar.
Overview
Your manager builds your schedule by assigning shifts -- blocks of time tied to a specific property or marked as general work. You can view your upcoming shifts, see what is coming in the weeks ahead, and submit time-off requests directly from the portal. No phone calls or text messages needed.
Viewing Your Schedule
Open Schedule from the dashboard quick actions or the bottom navigation bar. The schedule page has two main sections: the calendar view and the upcoming shifts list.
Daily View
The daily view shows all your shifts for a single day, laid out as time blocks. Each block displays:
- Start and end time -- e.g., 8:00 AM -- 12:00 PM
- Property name -- the villa you are assigned to, or "General" for non-property work
- Task summary -- a count of tasks scheduled during that shift (e.g., "2 tasks")
Tap any shift block to see the full details, including the property address and linked tasks.
Use the left and right arrows at the top to move between days, or tap Today to jump back to the current date.

Weekly View
Toggle to Week View using the button at the top right. The weekly view shows all seven days at once, with each day as a column and your shifts as colored blocks.
This view is useful for planning ahead -- you can see at a glance which days are heavy, which are light, and where you have gaps.

Navigating Dates
- Arrow buttons -- move forward or backward by one day (daily view) or one week (weekly view)
- Today button -- jump back to the current date
- Date picker -- tap the displayed date to open a calendar and jump to any specific date
Understanding Shift Assignments
Each shift on your schedule includes key information:
- Date -- the day of the shift
- Start time and end time -- your expected working hours (e.g., 9:00 AM -- 1:00 PM)
- Property -- which villa you are working at, or "General" if the shift is not tied to a specific property
- Shift type -- regular, overtime, or on-call
- Notes -- any special instructions from your manager
Property-Linked Shifts
Most shifts are tied to a specific property. When you tap a shift, you can see the property address and navigate to the property detail page for access codes, special instructions, or other information you might need before heading out.
For example, a typical Tuesday might look like:
- 8:00 AM -- 11:00 AM at Villa Mariposa -- turnover clean (checkout at 10 AM, check-in at 3 PM)
- 11:30 AM -- 1:00 PM at Casa del Sol -- pool service and garden check
- 2:00 PM -- 4:00 PM at Villa Serena -- pre-arrival prep
General Shifts
Some shifts are not tied to a property -- for example, a team meeting, training session, or supply pickup. These appear with the label "General" instead of a property name.

Upcoming Schedule Changes
When your manager adds, modifies, or removes a shift, the change appears on your schedule immediately. If a shift has been recently updated, it may display a small badge or highlight so you can spot the change.
Check your schedule regularly -- especially the evening before a workday -- to catch any last-minute adjustments. If a shift change conflicts with your availability, contact your manager as soon as possible.
Requesting Time Off
You can request time off directly from the schedule page without needing to call or message your manager separately.
Submitting a Request
- Scroll to the My Time Off section below your schedule calendar.
- Tap Request Time Off.
- Select the start date and end date for your time off (full days only).
- A day count preview shows how many days you are requesting.
- Add an optional reason to explain the request (free text -- no categories).
- Tap Submit Request.
Your manager will see the request in the Time Off tab on the scheduling page. You are notified when they approve or deny it.

Request Statuses
After submitting, your time-off request moves through these statuses:

| Pending | Submitted and waiting for your manager to review |
| Approved | Your manager has approved the time off -- those days are blocked on the schedule |
| Denied | Your manager was unable to approve the request -- check for a note explaining why |
| Cancelled | You cancelled the request before it was reviewed |
Viewing Your Requests
The My Time Off section on the schedule page shows all your time-off requests. Upcoming requests (those that have not yet ended) appear at the top with their status. Past requests appear below.
- Pending requests have a "Cancel request" link -- tap to withdraw the request before your manager reviews it.
- Denied requests include the manager's note if one was provided. You can submit a new request for different dates.
- Approved requests cannot be cancelled by staff. Contact your manager if your plans change.
Syncing to Your Personal Calendar
You can subscribe to your Argonautas schedule from your personal calendar app (Google Calendar, Apple Calendar, Outlook, etc.) so your work shifts appear alongside your personal events.
How to Subscribe
- Open Profile from the navigation menu
- Scroll to Calendar Sync
- Tap Copy Calendar Link to copy the subscription URL
- Open your calendar app and add a new calendar subscription using the copied URL
Once subscribed, your shifts will appear automatically in your personal calendar. Updates sync periodically -- when your manager adds or changes a shift, it will appear in your calendar within a few hours.
What Syncs
- All scheduled shifts with start and end times
- Property name and address in the event description
- Shift type (regular, overtime, on-call)
Time-off requests and task details do not sync -- those are only visible in the staff portal.
Key Concepts
- Shift -- a scheduled block of work time, optionally tied to a specific property. Shifts have a start time, end time, and type.
- General shift -- a shift not linked to a property, used for meetings, training, or administrative work.
- Time-off request -- a formal request to your manager for days off, with a reason and optional notes.
- Calendar subscription -- a live feed of your schedule that your personal calendar app can follow and update automatically.
- Clock in / clock out -- recording your actual arrival and departure times for a shift (done from the dashboard, not the schedule page).
Common Questions
How far ahead can I see my schedule? You can see all shifts your manager has scheduled, which is typically 2--4 weeks out. Use the date navigation to look ahead.
What if my schedule changes after I already synced it to my calendar? Subscribed calendars update automatically. Changes should appear within a few hours. If you do not see an update, try refreshing the subscription in your calendar app.
Can I swap shifts with another staff member? The portal does not support direct shift swaps. Contact your manager to arrange a swap -- they can reassign shifts from the staff management page.
How much notice do I need to give for time off? This depends on your team's policy. Submit requests as early as possible -- last-minute requests during high season (December through April in Costa Rica) are harder to accommodate.
What happens to my tasks if time off is approved? Your manager will reassign any tasks that fall during your approved time off. You do not need to do anything -- they handle the reassignment.
I do not see any shifts on my schedule. Is something wrong? Your manager may not have published the schedule yet, or shifts may not be assigned to you for the dates you are viewing. Check with your manager if your schedule appears empty for an extended period.
