Partner-Scoped Season Templates

When your company manages properties for multiple partners, season templates can pile up fast. A template that makes sense for one partner -- say, "Eco Lodge Green Season" -- is irrelevant for another partner whose properties are urban apartments. Partner-scoped season templates solve this by tying each template to the partner it belongs to, so every dropdown only shows the templates that are actually relevant.

What "Partner-Scoped" Means

Each season template now belongs to one of:

  • A specific partner -- The template is owned by that partner and only appears for their properties.
  • Direct (no partner) -- The template is for company-managed properties that do not belong to any partner.

Templates are filtered automatically:

  • On the Season Templates list, a partner filter at the top lets you show all templates, just one partner's, or only direct templates.
  • When you assign a template to a property, the template list is pre-filtered to only the templates that match that property's partner.
  • When you create a new template, you choose the partner up front. After the template is created, the partner cannot be changed.

This keeps the right templates in front of the right people, without requiring any extra clicks.

Creating a Partner-Scoped Template

  1. Go to Rates > Season Templates and click Add Template.
  2. Fill in the name, year, start date, end date, and optional color.
  3. In the Partner field, select either a specific partner or Direct (no partner).
  4. Save.

The template now appears in the Season Templates list with a coloured partner badge so you can see which partner it belongs to at a glance.

The Partner Filter

The Season Templates list page has a partner dropdown above the table. Use it to focus the list:

The filter sticks while you navigate, so once you set it for the partner you are working with, the list stays focused until you change it.

Assigning Templates to Properties

When you open a property's rate configuration and pick a template, the dropdown only shows templates that match the property's partner. A property owned by "Beach Estates" only sees "Beach Estates" templates plus, in some configurations, direct templates. You will never accidentally pick another partner's template.

If a property has no partner, only direct templates appear in the dropdown.

Copying Templates to Another Partner

Sometimes the calendar for one partner is exactly what you need for another -- the same date ranges, just owned by a different partner. Instead of recreating the template by hand, use Copy to.

Copying a Single Template

  1. On the Season Templates list, hover over the template you want to copy and click the menu.
  2. Choose Copy to partner.
  3. Select the destination partner (or Direct) from the picker.
  4. Confirm.

A new template is created on the destination partner with the same name, year, dates, and color. Property assignments are not copied -- you assign properties to the new template separately, since they belong to the new partner.

Bulk Copy

When you start a new year for a partner who has many templates, Bulk Copy to partner moves them all at once:

  1. On the Season Templates list, filter to the source partner so only their templates are shown.
  2. Click Bulk Copy to partner at the top of the list.
  3. Select the destination partner.
  4. Confirm.

Every visible template is copied to the destination partner. As with single copy, property assignments do not carry over.

Why Partner Cannot Be Changed After Creation

Once a season template has property seasons (rates) attached to it, those rates belong to a specific partner via the property. Changing the template's partner would orphan or mix up those rates, so the partner field is locked after creation. If you genuinely need a template under a different partner, use Copy to to create a new one and reassign properties.

Migrating Existing Templates

If your company was already using season templates before partners were introduced, the system has assigned each existing template to the correct partner based on the properties already using it. Templates that were shared across multiple partners' properties were split into one template per partner, with the same name and dates, so no rates were lost.

Review your Season Templates list and confirm that each template is on the right partner. If anything looks off, use Copy to to recreate a template on the correct partner and remove the misplaced one once its property seasons have been moved.

Common Questions

What happens to a property when its partner is changed? The property keeps its existing rates, but only templates from the new partner will appear in its dropdown going forward. Existing property seasons remain in place until you change them.

Can a single template serve properties from multiple partners? No. Each template belongs to exactly one partner (or to "Direct"). If two partners need the same calendar, copy the template to each partner.

Do property managers see other partners' templates? No. Property managers only see templates relevant to the properties they manage. The partner filter and the auto-filtering on property assignment hide everything else.

What if a template should be shared across all partners? Use Direct templates for company-wide calendars that apply to non-partner properties. Partner-owned properties always use partner-scoped templates -- there is no "shared with everyone" option, by design.
