Factura Electrónica
Factura electrónica is Settings → Factura electrónica, where Argonautas sends Costa Rica electronic invoices to Hacienda for your bookings. Every legal entity that sells stays, your company or an owner selling under its own cédula, needs its own issuer, connected with its own Hacienda credentials.
This is a sandbox today. The tab shows a Sandbox badge and the banner: "Invoices go to Hacienda's test environment and have no legal effect. Argonautas turns on live invoicing after reviewing your setup with your accountant." Nothing you do here has legal effect until Argonautas reviews your setup and turns on live invoicing. Click What's reviewed in the banner for details.
Step 1: Add an Issuer
Under Issuers, click + Add issuer. A three-step dialog opens: Who issues, Hacienda details, Connect.
Who issues
Answer "Who sells the stays this issuer will invoice?":
- The company: enter its Legal name and Tax ID / cédula.
- An owner entity that sells under its own cédula: choose it from Choose an owner entity. Its legal name and cédula come from the owner record, shown as a hint below the field. To change them, use Edit in Owners.
Click Next: connect to continue.
Hacienda details
Argonautas looks the issuer up in Hacienda's registry automatically. If found, a Found in Hacienda banner shows its name, status, and tax regime (and a Has pending tax obligations badge if Hacienda flags one). If Hacienda's lookup is unavailable, or the issuer isn't registered there, you're told so and can enter the details by hand.
Fill in:
- Identification type: Cédula física, Cédula jurídica, DIMEX, or NITE. When the registry lookup succeeds this is filled in for you.
- Economic activity: if the registry returned the issuer's registered activities, pick one from the list. Otherwise enter the 6-character code registered with Hacienda yourself.
- Province, Canton, District: must match the address on the issuer's TRIBU-CR registration, or Hacienda adds a warning to every invoice.
- Address details: free text, 5–250 characters.
- Invoicing email: printed on invoices as the issuer's email.
Click Next: connect to save the issuer and move to the connection step.
Connect
Enter the API username, API password, upload the Signing certificate (.p12), and enter the Certificate PIN that Hacienda issued to this entity. These are saved encrypted and never shown again.
Click Save issuer (same button through this step) to submit. Argonautas verifies the credentials with Hacienda, showing Verifying with Hacienda… while it checks. The result is one of:
- Connected, with the certificate's masked tax ID and expiry date ("Hacienda accepted these credentials. Certificate belongs to {tax ID}, valid until {date}.")
- An error, with the reason Hacienda gave.
Once connected, check the boxes under Properties this issuer invoices for every property this issuer should bill, then Save issuer again to apply the checklist.
Managing an existing issuer
Each issuer shows as a card with its name, identification type and masked tax ID, a connection badge (Connected, Verifying, Error, or Not connected), its activity code, location, certificate expiry, and the number of properties assigned to it.
- Edit details reopens the Hacienda-details step. The issuer's subject (company or which owner) can't be changed here once created.
- Finish setup (issuer not yet connected) or Replace certificate (already connected, or in error) reopens the connect step.
Step 2: Assign Properties to Issuers
The Who invoices each property table lists every property with its owner, its current issuer, and a status: Ready, Issuer not connected, or No issuer. A red badge at the top shows how many properties still have no issuer.
Pick an issuer for a property from the Choose issuer dropdown in its row; the assignment saves as soon as you pick one.
Step 3: Set Line Codes (CABYS)
The Line codes (CABYS) table maps each type of charge you bill, lodging, fees, cleaning fee, service fee, pet fee, to Hacienda's CABYS classification code and its IVA rate. Use Search CABYS to search Hacienda's catalog by name or code; results come straight from Hacienda's CABYS catalog. The lodging line is marked Needed until you set a code for it; invoices can't be issued without one. Confirm your choices with your accountant.
Picking a code saves it immediately.
Common Questions
Why can't I issue an invoice yet? All four steps need to be done: an issuer created, its credentials connected and verified, the property assigned to it, and a lodging CABYS code set. The booking's invoicing card tells you which of these is still missing.
Can I add more than one issuer? Yes. Add one for the company and one for each owner entity that sells under its own cédula. Each property is invoiced by exactly one issuer at a time.
What if Hacienda rejects my credentials? The issuer card shows Error with Hacienda's reason. Use Replace certificate to re-enter the API username, password, certificate, and PIN.
Is this connected to real Hacienda submissions yet? Not for live effect. It is Hacienda's sandbox, so nothing issued here is a legal invoice. Argonautas enables live invoicing after reviewing your setup.
